Contacts

Not every person a project touches is a stakeholder. The PMI definition is narrow — someone who may affect, be affected by, or perceive themselves to be affected by the project — and a register that lists every name off every email thread stops being a stakeholder register at all.

So people arrive as contacts, and you promote the ones that matter into the stakeholder register.

They are the same kind of record — one person, one row, with the same detail page, the same merge behaviour and the same place in the knowledge graph. The difference is one flag:

The rule of thumb: anything you declare is a stakeholder straight away (an import, or a person you add yourself — you wouldn’t have typed them in otherwise). Anything the platform picked up on its own arrives as a contact for you to judge.

Knowledge → Contacts in the project sidebar, directly under Stakeholders. It lists everyone — contacts and stakeholders together — with a Status column showing which is which, and per-row Promote / Demote buttons.

To move several at once, tick the rows: the bulk bar offers Promote to stakeholders and Demote to contacts. The Stakeholders register carries the same bulk Demote to contacts action for pruning a register that has grown too broad.

Demoting never deletes anything. The person keeps their emails, phone numbers, organisation and history — they simply stop appearing in the register.

Both people-tables have the standard search, sort and filter bar:

Organisation is a dropdown of the organisations actually present in your view of the project — a person you aren’t cleared to see never contributes their organisation to the list.

Open a programme → Contacts for everyone across all of its projects in one searchable list, answering “who are all our people, and on which project?”. Rows are per-project, so the same person working on two projects appears twice, each row tagged with its project — and filterable by Project, Status, Organisation and Last seen.

The programme view is read-only: promoting and demoting stays a per-project decision, made on that project’s own Contacts view.
